Your documents.
Your Google Drive.

The programme catalogues and their research assumptions are public. The separate Databases page brings art and master’s applications together. Your tracked programmes, notes, custom deadlines, document checklist and file links are loaded from your Google Drive after you sign in. Signing in does not make the public website or portfolio studio private.

Where information is stored

Uploaded documents go directly from your browser to a restricted EcoSapien Applications folder in your own Google Drive. Progress is stored as small JSON change records in that folder’s Tracker history subfolder. These files use your existing Google storage allowance. Application documents and personal progress are not uploaded to the website’s GitHub repository or a separate EcoSapien server.

Files in Shared resources can be reused across programmes. Each programme’s uploads have their own folder with a subfolder for each document type. Download retrieves the selected file from Drive; supported Google documents are exported as PDF. Existing links created outside this workspace may need to be opened in Drive to download. Uploading a replacement retains the earlier file in Drive. The app does not submit documents to universities or automatically share files with anyone.

Google account access

Google handles sign-in and consent in its own window. The site requests the drive.file permission to create and manage its workspace files; it does not request broad access to all Drive contents. It reads your Google display name, email address and account identifier from Drive to identify the active account and prevent mixing accounts on reconnection.

Short-lived Google access tokens are kept only in the page’s memory. They are not stored in local storage, backups or the repository. Closing or reloading the page requires reconnecting. Signing out clears the private fields and pending in-memory changes and cancels active requests. It does not sign you out of Google in other tabs or delete saved Drive files.

Browser storage and downloads

The only new setting stored in browser local storage is an optional public OAuth client ID. This ID is not a password or secret. New personal application progress is not saved persistently in browser storage.

Earlier versions of the tracker saved notes and Drive links locally without sign-in. The updated page keeps those older records until you choose to move them to the displayed Google account or remove them. A notice identifies that remaining browser copy. Migrated local data is removed only after its Drive save has been confirmed.

Exported CSV and JSON backups may contain private notes and document links. Store downloads privately. Signing out does not remove files you downloaded, your browser’s download history, or old browser progress you have not migrated or removed.

Sharing and control

The app checks that its destination folders are owned by you, in the expected location and restricted to the owner before reading progress or uploading. Keep the main folder directly in My Drive. If you later share a file or folder through Google Drive, Google’s sharing settings determine who can access it. Pasted links retain their existing sharing settings; the site cannot make an arbitrary linked file private.

To revoke the connection, open Google Account → Third-party connections ↗ and remove EcoSapien Applications. Revoking access does not delete files. To remove saved documents and progress, delete the workspace folder and empty the Drive bin as appropriate. The app retains change history and earlier uploads until you delete them in Drive.

Sync and session limits

Progress is automatically saved while connected. Unsaved changes remain only in the open page; closing it or signing out can discard them. The page warns before leaving with unfinished work and offers a private JSON backup. Use Sync now to load other-device changes. Independent fields merge across saves; if two devices edit the same field, the last save recorded by Drive wins. Earlier change records remain in Drive for recovery.
